In registering for the Screening Conference 2027, delegates, speakers, sponsors and exhibitors agree to the following Public Health Association of Australia (PHAA) Terms and Conditions.

Cancellations, transfers, and registration type changes must be requested in writing to events@phaa.net.au

Privacy

The Public Health Association of Australia (PHAA) is committed to safeguarding your privacy online. Handling of your personal information will be in accordance with PHAA’s Privacy Policy. Personal information you provide, including photography and recordings at the event, will be used solely for the purpose of PHAA organising and delivering events, and will not be shared with third parties unaffiliated with the Event.

The PHAA’s Privacy Policy outlines how we use, store and share personal information, and processes to allow users to access and amend their personal information held by PHAA.

Transfers:

Transfer of registration to another person - including purchased conference dinner tickets if applicable - is permitted at any time, however registrations cannot be used by more than one person.

Changes from a Face-to-Face to Plenary Hub registration, and vice-versa, are permitted.


Cancellations
  • Up to 60 days prior to the event: 100% refund
  • 60-30 days prior to the event: 50% refund
  • Within 30 days prior to the event: No refund available

Photography & Recording

By attending the conference, you agree to the following:

I irrevocably authorise and grant PHAA the right to (where applicable):

  • use my name, voice biographic or other information concerning me for the purpose of the event, prior and post.
  • record me (picture and voice) on photographs, film and/or video tape, for audio and visual production [the Recording].
  • edit the Recording into a photo gallery / short film / webinar (which may include other recordings and material).
  • screen or place online (including on social media) the Recording.


I hereby release PHAA from any infringement or violation of personal and / or property rights of any sort whatsoever based upon the use of the Recording and photography.

 I acknowledge that PHAA owns and shall own all rights, title and interest (including copyright) in the Recording and photos.

I further acknowledge that PHAA is not obliged to use the Recording or photos.

I warrant that I have full power to enter into this Release and that the terms of this Release do not in any way conflict with any existing commitment on my part.

I understand I will receive no monies for this Recording.

While under no obligation to do so, the PHAA will consider any reasonable request not to use or to stop using a particular Recording or photos. Such requests should be made in writing to PHAA Events Manager, events@phaa.net.au.

Please contact the PHAA Events Team, events@phaa.net.au upon registration and at least 48 hours before the event if you do not wish to grant PHAA these rights.

Disclaimer

PHAA endeavours to provide the best possible event experience for delegates and acknowledges there can be changes that are beyond the control of PHAA. PHAA does not accept responsibility for any costs or charges incurred by the delegate in the process of participating in the Event.

At the time of invitation to present and/or your registration, PHAA provided the most recent information available. Delegates and Presenters accept that the content and/or the delivery of the Event can change beyond the control of PHAA. PHAA will not take any responsibility for any errors, omissions and changes to the program or content of the Event.

The PHAA reserves the right to make changes as it deems necessary without penalty and in such situations no refunds, part refunds or alternative offers shall be made.

  1. PHAA reserves the right to update the Disclaimer and Terms and Conditions without notice to you.
  2. PHAA cannot control all content published or disseminated at the Event. You may find other delegates’ or participants’ communications, graphics, audio files or other information inappropriate, offensive, harmful, inaccurate, dishonest or misleading and/or deceptive, however you alone are solely responsible for your interaction with other delegates and agree to act responsibly and exercise caution, common sense and safety while in attendance at the Conference.
  3. PHAA, its directors, employees, servants, agents and affiliates shall not be liable for any losses, damages, liabilities, claims or expenses whatsoever arising out of or referrable to the event.
  4. By agreeing to speak at the Event, presenters agree that there will be no presentation fee.
  5. PHAA reserves the right to withdraw invitations to any presenters who fail to accept the presentation offer in the specified timeframe and anyone who implicates PHAA in any way that may lead to tangible and intangible damage to PHAA.


Frequently asked questions

What is the Plenary Hub?

The Public Health Association of Australia's virtual conference experience the 'Plenary Hub' replaces the previous hybrid conference option.

​Delegates can register to attend the conference in person and have the full conference experience or register for the online 'Plenary Hub' at a lower registration cost.

​

​The plenary hub experience includes:

  • Live streamed plenary sessions
  • Written questions to keynote speakers through the live Q&A function
  • Plenary session recordings available on demand for 3 months following the conference
  • Delegate hub (ability to connect with other delegates)
  • Sponsor & exhibitor information

 

The plenary hub experience does NOT include:

  • Recorded or live concurrent sessions
  • Sponsor & exhibitor interaction
  • Virtual networking sessions

Please Note:

  • Face-to-face delegates will also receive full access to the 'Plenary Hub' as part of their registration.​
  • ​We also invite pre-recorded abstract presentations for those unable to attend at the venue. The recordings will be played in the room.
  • Please note, no concurrent session presentations will be available to view in the plenary hub.​

Registering for the Conference?

How do I register?

Click on the registration tab on the homepage to be directed to the registration site. Registration must be fully paid in order to attend the face-to-face conference or receive access to the Plenary Hub Conference platform.

 

I am not a PHAA member. How do I join?

PHAA Members have access to reduced Registration Fees to participate in the Conference. To become a PHAA member today, visit the PHAA Website.

What is included in the F2F Conference registration fee?

We will be providing you with our traditional two-day conference format, which includes live plenary and concurrent sessions. Delegates will also be able to attend the networking function and exhibition booths located in the catering hall. In addition to the face-to-face components, you will also have access to the online on demand content for viewing at your leisure.

What is included in the Plenary Hub Conference registration fee?

Plenary Hub registration includes access to all conference Plenary sessions. These will be made available for viewing both live and on-demand and will be available for a limited time after the official conference has concluded.

Do you offer group registration?

You can register a group of participants via the Group Registration Portal, located on the Registration page. However, each participant must pay their individual registration fee in order to obtain an individual access code to the online content and to attend the face-to-face conference. We are unable to offer shared registrations. Each registrant must use an email address unique to them as that is their unique identifier to access to the portal.

Why do I have to register to participate?

By registering to participate in our Conference you are helping the Public Health Association of Australia continue its work in a variety of public health topics. All presenters and co-presenters will be required to purchase an appropriate conference registration.

I can no longer attend the Conference.

Should you no longer be able to participate in the Conference we ask you to contact events@phaa.net.au so your registration can be transferred. For Plenary Hub delegates, we do not recommend sharing login information with anyone as this contains the personal information your provided upon registering. 

Can I share my registration?

For insurance and logistical reasons, shared registrations are not possible.

Presenting at the Conference?

I would like to submit an abstract. What do I do?

To submit an abstract, plese go to the the 'Call for Abstracts' tab on the homepage to access the abstract submission portal. Presentation formats may vary from previous conferences and years. If your abstract is accepted into the conference program, you will receive full instructions on how to prepare and upload your presentation.

I need to make a change to my abstract. How do I do this?

Changes are only possible in the early stages of the process. If you wish to make changes to your abstract after abstract submission, please contact events@phaa.net.au to check if changes are possible.

Can I present virtually?

Whereas a virtual presentation is not possible, presenters have the option to pre-record their presentation if they are unable to attend in person. The recordings will be played for those delegates present in the room, presenters will need a Plenary Hub registration (see above).

Please note that no concurrent sessions will be available to Plenary Hub delegates.


Viewing the virtual Conference​?

Do I need to download anything to view the Virtual Conference?

No. Once you have registered, you have access to the online Conference site. Our sessions use integrated software connected with Zoom and other streaming services. These sessions and videos will play automatically in your browser. You can use your laptop or PC (tablets and smartphones are not recommended, due to screen size). For the best viewing experience, we recommend that you join the conference using a supported internet browser, which includes Google Chrome, Firefox, and Safari. Please also remember a stable broadband or wi-fi connection is recommended.

Can I watch from multiple devices at the same time?

You can use any device to watch the Conference (computer, smart phone, tablet). The recommended device is a computer or laptop. Please note, only one device can access your account at any one time. Please do not share your registration login with anyone.

Can I stream the Conference on a big screen or television?

Chromecast - If you have Chromecast, you can view the sessions on your television screen, direct from your smart phone using your wi-fi network. For more instructions visit http://www.google.com/chrome/devices/chromecast/learn.html

 

AppleTV - If you have an Apple TV and iPhone/iPad, you can stream a video to your AppleTV and watch it on the big screen. Use AirPlay directly from your iOS device via your wi-fi network. For more instructions visit Apple.com​


PHAA's Public Health Catering Guidelines around healthy food and alcohol?

Healthy food

PHAA adopts ecologically sustainable, culturally appropriate and healthy food practices to improve public health outcomes, including:

• Ensuring food and beverages are in keeping with dietary guidelines.

• Ensuring cultural food practices are considered.

• Reducing the use of chemical additives used in food production.

• Promoting agricultural practice that minimises ecological damage and minimises water use.

• Ensuring key allergens are considered; and

• Minimising food surpluses and wastage.

Venues are also asked to limit the use of unhealthy discretionary foods and protect the environment. We encourage venues to avoid single use cups, plates, cutlery and packaging. Food and beverages should be served in reusable, washable containers. It is equally important that venues which host events reduce the food-related environmental footprint of the event and ensure locally grown and sustainably produced nutritious and safe foods are available and provided at the event, whenever possible.

 

Beverages

PHAA ensures the hosting conference provide plain drinking water, plus, still or sparkling water, excluding bottled water. Service of sugar sweetened beverages (for example soft drink, fruit juice) are kept to a minimum ensuring that adequate alternatives, for example fruit infused waters are available. Hot beverages for example, tea and coffee, will be served with reduced and low-fat milk and dairy alternative options provided.

Alcoholic beverages

No alcohol is to be supplied or included in packages at events conducted under the auspices of PHAA. Any event arranged by PHAA is not to provide or serve alcohol as a routine and freely distributed part of the provision of hospitality at the event. This includes adding the supply of alcohol into the price of registration, such as beverage packages. However, every effort will be made to ensure – when the event and venue is appropriate - attendees are freely able to purchase alcoholic beverages at their own expense.
